Importing a single record from Approach db

: I created a simple database in approach for phone messages & contact information with the same fields as my ODP program. Many times these contacts turn into sales & I didn't want to retype all of the information. How do I import a single record from ODP. I somehow end up getting the entire database transfered instead of the one record I'm trying to import. Could you give me step by step instruction.
